Keeping customers informed builds trust and cuts down on “did you get my payment?” calls. vFile can send automatic WhatsApp messages for new invoices and received payments, using a connected messaging service.
How the connection works #
WhatsApp sending is powered through AndroidAPI.net. Once your WhatsApp account is linked, vFile uses your credentials to deliver messages on your behalf. If you need this connected or changed, contact the TecniForge support team.
Customer notifications #
With customer WhatsApp notifications enabled, whenever an invoice is created or a payment is recorded, the customer automatically receives a message on their registered mobile number.
What gets sent #
- New invoice — a confirmation with the amount and a link to view the bill.
- Payment received — a thank-you note confirming the amount and the remaining balance.
The exact wording comes from your notification templates.
Worked example #
Rana buys seed worth ₨9,500 and his mobile number is on his contact.
- You finalise the sale on the POS.
- Within moments, Rana receives a WhatsApp: “Thank you Rana, your invoice for ₨9,500 is ready” with a link to view it.
- Next week he pays ₨9,500. On saving the payment, he gets a second WhatsApp confirming the amount received and a ₨0 balance.
- Rana never has to ask whether his bill or payment was recorded — he has it in writing.
What this affects #
- Notifications are a communication layer — they do not change any figures. They simply report what your sales and payments already did.
- A customer only receives messages if their mobile number is on file and notifications are enabled.
Frequently asked questions #
A customer did not receive a message — why?
Check that their mobile number (with country code) is saved on the contact and that WhatsApp notifications are switched on for that event.
Can I change what the message says?
Yes — edit the wording in Notification Templates.
How do I connect or change the WhatsApp account?
The WhatsApp connection is set up for you — contact the TecniForge support team to connect or update it.
