Cash in the drawer and money in the bank both need watching. Payment accounts in vFile represent those money stores — your cash box, each bank account, mobile wallets and more — so you always know how much is where. Manage them at vfile.app/payment-account.
Creating accounts #
Add an account for each real place your money sits, such as Cash, Bank – UBL or Mobile Wallet.
Linking payments #
When you record a sale, purchase or expense payment, choose the account the money went into or came out of. Each account keeps a live balance and a register of every transaction that touched it.
Worked example #
You keep cash at the counter and a UBL bank account.
- You create two accounts: Cash and Bank – UBL.
- Through the day, cash sales add to Cash; a dealer’s bank transfer of ₨140,000 adds to Bank – UBL.
- In the evening you deposit ₨100,000 of counter cash into the bank. You record a transfer: Cash down ₨100,000, Bank up ₨100,000.
- Each account now shows its true balance, and you can match the bank figure to your real statement.
What this affects #
- Account balances — every payment linked to an account raises or lowers it, giving you live cash and bank positions.
- Transfers move money between accounts without being a sale, purchase or expense.
- Well-kept accounts make daily cash-ups and bank reconciliation quick and reliable.
Frequently asked questions #
Do I have to pick an account for every payment?
It is strongly recommended — linking each payment to an account is what keeps your cash and bank balances accurate.
How do I record cash deposited into the bank?
Use a fund transfer between the Cash and Bank accounts, so one goes down and the other up.
My account balance does not match my bank statement — why?
Check for payments recorded to the wrong account, or bank charges not yet entered (record those with a journal voucher).
