Buying stock is the mirror image of selling it. The Add Purchase screen records goods received from a supplier, raises what you owe them, and increases your inventory at the correct cost. Open it at vfile.app/purchases/create.
Recording a purchase #
- Select the supplier and receiving location.
- Add each product with its purchase price, quantity and tax.
- Set the purchase status — Received (updates stock) or Pending / Ordered.
- Record any payment made now; the remainder becomes a payable.
Worked example #
You restock from your supplier, Green Seeds Co.
- You choose Green Seeds Co. and your Sahiwal location.
- You add 200 bags of Corn AG 603 at ₨4,000 = ₨800,000, and set the status to Received.
- You pay ₨500,000 now by bank transfer; the remaining ₨300,000 becomes a payable.
- You save. Stock jumps by 200 bags at ₨4,000 cost each.
What this affects #
- Stock — 200 bags added at ₨4,000 each in the Stock Report.
- Supplier ledger — ₨800,000 charged, ₨500,000 paid, ₨300,000 payable.
- Payment account — the ₨500,000 paid reduces your Bank account.
- Cost & profit — the purchase price becomes the item’s cost for future sales.
- A purchase set to Pending / Ordered does not add stock until marked Received.

When the purchase status is Received. A Pending/Ordered purchase does not add stock yet.
I paid only part of the bill — what happens?
The rest is recorded as a payable to the supplier and shows on their ledger until you pay it.
Why does the purchase price matter so much?
It becomes the item’s cost, which drives your gross profit on every future sale of that product.
