Creating a product #
Go to vfile.app/products/create and enter the basics:
- Product name and (optional) SKU/barcode — leave SKU blank to auto-generate one.
- Unit (pieces, kg, bag), brand and category.
- Business location(s) where the product is available.
Product type #
- Single — one item with one price (most products).
- Variable — comes in variations such as size or colour. See Variations & Templates.
- Combo — a bundle of several products. See Combo & Bundle Products.
Pricing & stock #
- Purchase price and selling price — set a margin to calculate the selling price automatically, or type it directly.
- Enable Manage Stock and set an alert quantity for low-stock warnings.
- Enter opening stock now or later. For services, turn stock off.
Click Save, and the product is ready to sell. Edit it any time from the product list.
Worked example #
You sell seed and want to add a new line.
- You open Add Product and name it Corn AG 603, unit Bag, category Seeds, brand Augusta.
- You set the purchase price at ₨4,000 and a 25% margin, so vFile fills the selling price as ₨5,000.
- You tick Manage Stock and set an alert quantity of 20 bags.
- You click Save & Add Opening Stock and enter 200 bags already in your Sahiwal warehouse at ₨4,000 cost.
Now Corn AG 603 appears when you search on the POS, shows 200 in stock, and every sale uses ₨4,000 as its cost for profit.
What this affects #
- Stock report — the product shows its quantity and value, and warns you at 20 bags.
- Sales & POS — it becomes sellable; each sale reduces stock and posts to the customer’s ledger.
- Profit & Loss — the purchase price is the cost used to calculate gross profit on every future sale.
- Adding a product alone does not create any supplier due or accounting entry — only a real purchase does.
Frequently asked questions #
My product is not showing on the POS — why?
Check it is assigned to the location you are billing from, and that it is active. Products are location-specific.
Do I have to enter a barcode?
No. Leave the SKU blank and vFile generates one automatically; you can print a label for it later.
How do I sell something that has no stock, like a service?
Turn off Manage Stock for that product. It can then be sold without affecting inventory.
Can I change the selling price later?
Yes, edit the product any time — or set different prices per customer type with selling price groups.
