Asset Management keeps track of the equipment your business owns — laptops, tools, vehicles, machinery — who is using each one, and how it is maintained.
Registering, allocating & maintaining #
- Register each item as an asset at vfile.app/asset/assets.
- Allocate it to a staff member at vfile.app/asset/allocation, and revoke it on return.
- Log maintenance — servicing, repairs — with cost and date.
Worked example #
Your office buys a laptop and you want it accountable from day one.
- You register a Dell Latitude Laptop — category IT Equipment, purchase value ₨120,000, serial DL-7727.
- You allocate it to Sara; the register now shows it as In use — Sara.
- Four months later you log a maintenance entry: keyboard replacement, ₨5,000.
- Sara moves branch, so you revoke the allocation and the laptop returns to the pool.
What this affects #
- Asset register — full allocation and maintenance history; you always know who holds each item.
- Not sellable stock — assets are separate from products; they never appear in the Stock Report or on the POS.
- No customer ledger effect — buying and holding an asset is internal.
Frequently asked questions #
Is an asset the same as a product?
No. Products are things you sell; assets are things you own and use. They are tracked separately.
How do I know who currently holds an item?
The register shows the current allocation; revoking it returns the item to the pool.
Does buying an asset reduce my profit like an expense?
An asset is something you keep, not a running cost. Its purchase and maintenance are tracked against the asset for your records.
