Sometimes you need to prepare a sale without committing it — a price quote for a customer, or a bill you will finalise later. Drafts and quotations let you do exactly that, with no effect on stock or accounts until you are ready.
Drafts #
A draft is a saved, unfinished sale. Create it from the sale screen by setting the status to Draft, and find your drafts at vfile.app/sells/drafts. Nothing moves until you open the draft and finalise it.
Quotations #
A quotation is a formal price offer you give a customer before they commit. Manage quotations at vfile.app/sells/quotations, print or send them, and convert to a sale when accepted.
Worked example #
A dealer asks for prices on a large order before deciding.
- You create a quotation for 100 bags of Corn AG 603 at ₨5,000 = ₨500,000 and send him the PDF.
- Stock stays untouched and his ledger shows nothing — it is only an offer.
- Two days later he agrees. You open the quotation and convert it to a sale.
- You finalise the invoice; only now do the 100 bags leave stock and the ₨500,000 post to his account.
What this affects #
- Nothing until finalised — drafts and quotations do not change stock, ledgers or reports.
- On conversion to a final sale — it behaves like any invoice: stock drops and the customer is charged.
Frequently asked questions #
Does a quotation reduce my stock?
No. Neither drafts nor quotations touch stock or accounts until you convert them into a final sale.
What is the difference between a draft and a quotation?
A draft is an unfinished sale for your own use; a quotation is a polished price offer to give the customer.
Can I edit a quotation before converting?
Yes — adjust quantities or prices, then convert it when the customer agrees.
