Invoice vs POS #
Use the POS for quick, mostly-cash counter sales. Choose the invoice screen for shipping, pay terms, line-level discounts or a formal business document.
Steps to raise an invoice #
- Pick the location and customer.
- Add products with quantity, price, discount and tax.
- Fill in optional shipping, pay term and date.
- Enter any payment received; the rest becomes the customer’s due.
- Set the status to Final (affects stock and ledger) or Draft (does not).
Worked example #
A dealer, Al-Karam Traders, orders in bulk on credit.
- You choose your Sahiwal location and select Al-Karam Traders.
- You add 50 bags of Corn AG 603 at ₨5,000 = ₨250,000, give a ₨10,000 discount, so ₨240,000.
- You set a 15-day pay term and add the delivery address.
- Al-Karam pays ₨100,000 now; the remaining ₨140,000 becomes their due. You set status Final and save.
What this affects #
- Stock — 50 bags are deducted the moment the invoice is Final.
- Customer ledger — ₨240,000 charged, ₨100,000 paid, ₨140,000 due (Partial).
- Payment account — the ₨100,000 received increases the account.
- Aging & reports — the ₨140,000 starts aging and shows in dues/sales reports.
- A Draft reserves nothing until made Final.
Frequently asked questions #
When does stock actually reduce?
Only when the invoice status is Final. A Draft does not move stock or post to the ledger.
How do I sell on credit?
Enter a smaller (or zero) payment and set a pay term; the balance shows as a due and begins aging.
Can I convert a POS sale into a full invoice?
Both are sales; use the invoice screen when you need the extra detail like shipping and terms.
