What are variations? #
A variable product is one item sold in several variants — for example a bag of seed in 10kg / 20kg / 50kg, or a shirt in S / M / L. Each variation can have its own SKU, purchase price, selling price and stock.
Variation templates #
To avoid retyping the same options, create a variation template once and reuse it. Manage templates at vfile.app/variation-templates — for example Size with values 10kg, 20kg, 50kg.
Creating a variable product #
- On Add Product, set the type to Variable.
- Choose a variation template (or add values manually).
- For each variation, set purchase price, selling price and opening stock.
Worked example #
You sell packed seed in three sizes.
- You create a variation template Pack Size with values 10kg, 20kg, 50kg.
- You add a variable product Wheat Seed and choose that template, so three variations appear.
- You price them: 10kg at ₨1,500, 20kg at ₨2,900, 50kg at ₨7,000, and enter opening stock for each.
- On the POS, a customer asks for the 20kg pack — you pick that variation, and only the 20kg stock goes down.
What this affects #
- Stock per variation — each size has its own quantity, so the Stock Report tells you exactly which sizes are low.
- Pricing — every variation can carry its own price and cost, giving accurate profit per size.
- Sales — a sale always names the exact variation, keeping stock and reports precise.

Should I use variations or separate products?
Use variations when it is really the same item in different sizes or colours — it keeps them tidy under one product. Use separate products for genuinely different items.
Can different variations have different prices?
Yes. Each variation has its own purchase and selling price.
Can I add a new size later?
Yes, edit the product and add another variation value whenever you introduce a new size.
