Starting out with hundreds of products or customers? Instead of typing each one, vFile lets you import them in bulk from a spreadsheet — a huge time-saver when you set up or migrate.
What you can import #
- Products — at vfile.app/import-products.
- Contacts (customers and suppliers) — at vfile.app/contacts/import.
- Opening stock for existing products, also via import.
How importing works #
- Open the relevant import screen and download the template spreadsheet.
- Fill in your data in the template’s columns, following the notes for each field.
- Upload the file. vFile checks it and tells you of any rows that need fixing.
- Confirm, and your records are created in one go.
Worked example #
You are moving 300 products from an old system into vFile.
- You open Import Products and download the template.
- You paste your 300 products into it — names, units, categories, purchase and selling prices.
- You upload it; vFile flags two rows with a missing unit, which you correct.
- You re-upload and confirm — all 300 products are created at once, ready to sell.
What this affects #
- Bulk creation — many products or contacts are added at once, exactly as if you had typed them.
- Opening stock import sets starting quantities and cost, so stock and profit are right from the start.
- Importing does not bill anyone — it only creates records.
Frequently asked questions #
Must I use the provided template?
Yes — use the downloaded template so vFile can read your columns correctly.
What if some rows have errors?
vFile lists the rows to fix before importing. Correct them in the sheet and upload again.
Can I import how much stock I already have?
Yes — use the opening-stock import to set starting quantities and costs.
