The HRM & Staff tools bring everyday people-management into vFile, so staff records, attendance and pay sit alongside your sales and stock. Most of these tools live under the Essentials area of the app.
Attendance & leave #
Staff can clock in and out from the top bar, and you can review attendance, approve leave and manage holidays.
Payroll #
Set each employee’s pay, add allowances and deductions, and generate payroll for a period.

Worked example #
Say you employ Bilal at ₨40,000 a month. At month-end you open payroll, and vFile pulls Bilal in with his ₨40,000 basic. You add a ₨5,000 fuel allowance and a ₨2,000 late deduction, so his net becomes ₨43,000. You finalise the payroll, then pay him ₨43,000 from your Cash account.
What this affects (important) #
- Finalising Bilal’s payroll creates a Payroll record of ₨43,000, marked due until you pay it.
- It does NOT appear in the Expenses list. Payroll and Expenses are separate — the Expenses screen only shows costs you enter there (rent, utilities, etc.).
- It does count as a business cost in the Profit & Loss report, where it shows as its own Total Payroll line and reduces your net profit.
- When you pay the ₨43,000, that payment comes out of the chosen payment account, lowering its balance.
Frequently asked questions #
When I add a staff salary, does it also show in Expenses?
No. Salaries are recorded as Payroll, not Expenses. They still reduce profit — but on a separate “Total Payroll” line in the Profit & Loss report, not in the Expenses list.
How do allowances and deductions work?
Allowances add to and deductions subtract from the basic pay to give each employee’s net salary for the period.
Does paying a salary reduce my cash?
Yes — the payment comes from the payment account you choose, lowering its balance.
