Every automatic message vFile sends is built from a notification template. Templates let you write the wording once, in your own voice, and have vFile fill in the details for each customer automatically.
Choosing an event #
Each template covers an event — for example New Sale, Payment Received or Payment Reminder — and has its own message for WhatsApp, SMS and email.
Dynamic tags #
Insert tags that vFile replaces with real values when the message is sent:
{contact_name}— the customer’s name.{invoice_url}— a link to view the invoice.{total_amount}and{received_amount}— the bill total and amount paid.{due_amount}— the remaining balance.{business_name}— your business name.
Worked example #
You want your payment confirmations to sound warmer and include the balance.
- You open the Payment Received template.
- You write: “Thank you {contact_name}! We have received ₨{received_amount}. Your remaining balance is ₨{due_amount}. — {business_name}”
- You switch auto-send on for WhatsApp and save.
- Next time Rana pays ₨5,000 with ₨2,000 still due, he receives: “Thank you Rana! We have received ₨5,000. Your remaining balance is ₨2,000. — Augusta Seeds.”

The tag must be spelled exactly, including the braces. Copy it from the tag list to be sure.
Can I have different wording for WhatsApp and SMS?
Yes — each channel has its own message within the template.
How do I stop a certain message going out?
Turn off auto-send for that template’s channel.
