The Repair module manages service jobs from the moment an item arrives to the day it is handed back. It suits electronics shops, workshops, and any business that fixes customer items and charges for parts and labour.
Creating a repair job #
Open vfile.app/repair and add a new job. Record the customer, the device/item and model, the reported fault and a checklist of its condition on intake, plus any advance and the expected delivery date. vFile can print a job sheet and a label.
Tracking status #
Each job moves through statuses you define — Received, In Progress, Ready, Delivered and so on. Customers can check progress through a public repair-status page.
Parts, labour & billing #
Add the parts used and your labour charge, then convert the job into an invoice and take payment — parts are deducted from stock like a normal sale.
Worked example #
Ahmed brings a phone with a broken screen. You open a repair job, note the model and a checklist (scratches, no SIM), and take a ₨1,000 advance. You move the job to In Progress, fit a screen from stock priced at ₨6,000, and add ₨1,500 labour — total ₨8,500. You convert it to an invoice; with the ₨1,000 advance applied, Ahmed pays the remaining ₨7,500 in cash and collects the phone.
What this affects #
- Stock — the screen used is deducted from your parts inventory, exactly like a sale.
- Customer ledger — the ₨8,500 job posts to Ahmed’s ledger; the advance and payment settle it.
- Payment account — the ₨7,500 cash increases your Cash account.
- Sales & profit reports — the job counts as a sale, with parts at cost and labour as income.
Frequently asked questions #
Do the parts I use come out of my stock?
Yes. Parts added to a job are deducted from inventory just like items on a normal sale.
Can the customer check their repair status themselves?
