# Purchase Returns

Sometimes goods have to go back to the supplier — damaged items, wrong deliveries or excess stock. A **purchase return** records this, lowering your inventory and what you owe.

## Creating a purchase return

1. Locate the original purchase in the list at [vfile.app/purchases](https://vfile.app/purchases).
2. Choose **Purchase Return** from its actions.
3. Enter the quantity being returned for each product.
4. Save — the stock is removed and the supplier balance adjusts in your favour.

## Worked example

Out of a purchase of 200 bags from *Green Seeds Co.*, 10 arrive damaged.

1. You open that purchase and choose **Purchase Return**.
2. You enter a returned quantity of **10 bags**, worth ₨40,000 at ₨4,000 each.
3. You save. Your stock drops by 10 bags and your payable to Green Seeds falls by ₨40,000.
4. If you had already paid in full, that ₨40,000 becomes a credit you can recover or set against your next order.

## What this affects

- **Stock** — the 10 returned bags are removed from inventory.
- **Supplier ledger** — your payable to Green Seeds reduces by ₨40,000, or becomes a recoverable credit if already paid.
- **Payment account** — only changes if the supplier actually refunds you cash.
- Always return against the specific purchase so cost, stock and balances stay aligned.

## Frequently asked questions

**What if I already paid for the goods I am returning?**
The return becomes a credit with that supplier, which you can recover or offset against a future purchase.

**Return or adjustment — which do I use for damaged stock?**
If the goods go back to the supplier, use a purchase return. If you simply write them off, use a [Stock Adjustment](https://tecniforge.com/docs/vfile/vfile-products-inventory/stock-adjustments/).

**Can I return part of a purchase?**
Yes — enter only the quantity being returned per line.
